Vendor FAQ


Pulling Up, Unloading & Parking

There is a circular drive that goes around the buildings. Pull up to the new barn, “White Willow Barn” to unload and complete your set-up. We ask that all vehicles be moved to the parking lot before guests arrive so we can avoid traffic jams for shuttle services and taxis. There is a specific vendor parking lot that you can park in. (inside the white fence just up the hill from the “WWB” near the firepit). We do provide a parking spot right behind White Willow Barn for caterers only. The rest of the vendors will need to park in vendor parking lot or guest parking lot after unloading.

On-Hand Items:

We do not provide linens, extension cords, or other common items for vendor use. DJs will need to provide their own linen for a 3’ x 6’ rectangle table. We recommend you verify with the client if they will provide these for you or if you will bring your own.

Storage & Trash:

STORAGE: There is no storage in the White Willow Barn but depending on storage needs we may be able to find room in another building for a/v cases or boxes.

TRASH: Our capacity for trash over the weekends is very low and the needs of the farm and property utilize all of our dumpster space. Please be prepared to take the majority of your trash with you (specifically floral debris, late night snacks, desserts boxes, etc.). No cardboard can be left in trash receptacles or onsite in kitchen prep space.

Caterers:

Please bring 55–60-gallon garbage bags for trash. We will provide 3 bins for your garbage and we ask that you remove all trash bags offsite at the end of night. Please have clients pay for your service to pick up all disposable plates/dishes post dinner. If you are providing table water service, you will need to provide your own ice. If you cannot do that, please advise the couple to use Willow Brooke Farm for their table water service. Our ice machine is not for use with table water service.

Service & Connectivity

Service can be spotty for some carries in the valley. Using apps like ‘WhatsApp’ or other internet-based call/text app can be helpful over Wi-Fi. We can provide Wi-Fi passwords if needed.  

DJs: We recommend having all music downloaded ahead of time due to service being spotty in the valley. In the case where you are playing music out in our vineyard during ceremony time, you will need a 200 ft extension cord in order to reach the vineyard from the outlets in our pavilion.  

Clean-Up & Load-Out

The client’s contract allows the event to go until Midnight on Friday/Saturday nights only and 10 pm on Sunday – Thursday nights per Goodhue County. All items must be removed from the property by 1:00am (Friday/Saturday) and 11 pm (Sunday – Thursday), vendors included. We cannot store items overnight. During the last hour of clean-up our crew will begin to dismantle the tables and chairs to prepare to clean the floor. Please help our clients to consider this so that clean-up and load-out is easier for all!   

DOCs should help with removal of wedding parties' personal items in Barrel Lounge and Farmhouse to front porch of Farmhouse before ceremony begins, as well as table flip before the dance starts. Plan to remain onsite till the end of evening for cleaning up post event.  Removal of décor does not begin until 1 hour before the end of night.
